Seeking Professional Bookkeeping Services
Overview
Simon Everett, Ltd., is a consulting firm that provides research, analysis, and strategic planning services to public, private, and non-profit sector clients. We employee 8 professionals and a work with a network of consultants with whom we subcontract on a project-by-project basis.
We are seeking applications from qualified bookkeeping firms (or professionals) to manage our financial records and reporting. Applicants must be legally authorized to provide services in the United States and must maintain a primary business presence in the U.S. Applicants should have experience in the government contracting and private sector consulting sectors. Remote services are acceptable; physical proximity to our VA and NY offices is not required.
Scope of services
Core Monthly Services
Monthly financial statement preparation
Bank and credit card reconciliations
General ledger maintenance
Monthly closing procedures
Basic financial reporting, including for workers’ compensation policy annual audit
Year-end preparation for tax filing
Additional Services (Ad Hoc)
Support for cost proposals, especially for federal government RFPs
Custom reporting
Historical clean-up
The following services are specifically excluded from the scope of services:
Accounts payable management
Accounts receivable management
Requirements
Minimum 10 years of bookkeeping experience
Must currently serve at least three clients with $1M+ annual revenue
Must have managed books for at least one client through a full audit process
Expertise in QuickBooks Online
Advanced QuickBooks ProAdvisor certification and AIPB Certified Bookkeeper preferred
Professional liability insurance ($1M+ coverage)
Demonstrated experience in the government contracting sector and also in the private sector consulting sector
Demonstrated data security protocols
Expected Deliverables
Monthly financial statements by the 5th day of following month
Quarterly business review meetings (conducted remotely)
Year-end closing annually by February 10 (although we recognize this may not be possible for this current year)
Selection Process and Timeline
This application follows a two-step selection process.
Step 1: Letter of Interest
In the interest of efficiency for your firm and ours, interested parties must first submit a Letter of Interest (maximum 1 page), including:
Firm overview and years in business
Current number of clients and their revenue ranges
Industry specializations
Team size and key qualifications
Confirmation of meeting minimum requirements in Section 3
Step 2: Full Application
Selected parties will be invited to submit a full application that includes the following (maximum 5 pages):
Firm/individual background and qualifications
Team structure and key personnel (if applicable)
Proposed service approach
Pricing structure, inclusive of:
Monthly fixed fee or hourly rates for core services
Hourly rates for additional services
Confirmation of professional insurance coverage
Description of data security practices
Contact information for applicant
Three client references from businesses with $1M+ revenue; references should include a summary of the scope of work, any notable accomplishments, and reference contact information
Timeline
Letter of Interest Due: January 17, 2025
Notification of Selected Parties: January 21, 2025
Calls with Selected Parties to Answer Questions: January 22-24, 2025
Full Application Due from Selected Parties: January 28, 2025
Final Selection: February 5, 2025
Desired Start Date: February 10, 2025
Selected parties will have the option of scheduling a 30-minute call with our team to ask questions about our business that can inform their application.
Ideally, services can begin in time to prepare the filing for the 2024 tax year.
